Booking Policy
Welcome to Tindiga Africa! We are thrilled to host your Tanzanian adventure. Please read the following Booking Policy and Terms & Conditions carefully. By paying your deposit to Tindiga Africa (hereinafter referred to as “the Company,” “we,” “us,” or “our”), you (the “Client” or “Guest”) acknowledge that you have read, understood, and agreed to be bound by these terms.
1. Booking & Payment Terms
1.1 Deposit & Confirmation: To confirm your booking, a non-refundable deposit of 30% of the total itinerary cost is required. Upon receipt of this deposit, Tindiga Africa will secure your accommodations, permits, and guides, and issue a formal booking confirmation.
1.2 Balance of Payment: The remaining balance (70%) is due no later than 60 days prior to the start date of your safari or trek. If the booking is made within 60 days of the departure date, the full 100% payment is required at the time of booking.
1.3 Payment Methods: Payments can be made via international bank wire transfer or major credit cards (subject to a processing fee). All payments must be made in US Dollars (USD) unless otherwise agreed upon in writing. Bank charges for wire transfers are the responsibility of the Client.
2. Cancellations & Refunds
2.1 Cancellation by the Client: All cancellations must be received in writing (via email to info@tindigaafrica.com). The date the written cancellation is received will determine the cancellation charges applied:
61+ days prior to departure: The 30% deposit is forfeited.
31 to 60 days prior to departure: 50% of the total tour cost is forfeited.
15 to 30 days prior to departure: 75% of the total tour cost is forfeited.
0 to 14 days prior to departure (or No Show): 100% of the total tour cost is forfeited.
Note: Permits for gorilla trekking (if applicable in neighboring countries) and Mount Kilimanjaro park fees are strictly non-refundable once purchased, regardless of the cancellation timeline.
2.2 Cancellation by Tindiga Africa: We reserve the right to cancel a tour under exceptional circumstances (e.g., severe weather, safety concerns). If we cancel your trip for reasons other than Force Majeure (see section 9), we will offer an alternative itinerary of a similar standard or a full refund.
3. Amendments to Itineraries
3.1 Changes by the Client: If you wish to alter your itinerary after confirmation, we will do our best to accommodate the request, subject to availability. Any costs incurred by making these changes (e.g., lodge change fees or additional transportation) will be passed on to the Client.
3.2 Changes by Tindiga Africa: The African wilderness is unpredictable. While every effort is made to follow the agreed-upon itinerary, we reserve the right to make changes to routes, accommodations, or activities if necessary due to weather, road conditions, wildlife movements, or safety concerns. If a lodge needs to be substituted, we will provide one of similar or higher quality.
4. Prices and Surcharges
Prices are quoted based on current exchange rates, park fees, and taxes. Tindiga Africa guarantees that once full payment has been received, no surcharges will be added. However, we reserve the right to amend prices prior to final payment in the event of unexpected increases in Tanzanian government taxes, national park fees, or extreme fuel price fluctuations.
5. Travel & Medical Insurance
Comprehensive travel insurance is mandatory for all Guests traveling with Tindiga Africa. Your insurance policy must explicitly cover:
Trip cancellation and curtailment
Medical expenses and emergency medical evacuation (including helicopter evacuation for Kilimanjaro treks)
Repatriation
Loss or damage to personal baggage
You may be asked to provide proof of insurance before your tour commences. Tindiga Africa will not be held liable for any costs incurred due to your failure to obtain adequate insurance.
6. Passports, Visas, and Health
6.1 Documentation: It is the Client’s sole responsibility to ensure their passport is valid for at least 6 months beyond the date of entry into Tanzania and has at least two blank pages. The Client is responsible for securing the necessary tourist visas prior to travel or upon arrival.
6.2 Health & Vaccinations: Clients are responsible for consulting a medical professional regarding necessary vaccinations (such as Yellow Fever) and malaria prophylaxis before traveling. If you are climbing Mt. Kilimanjaro, you must be in good physical health, and we recommend consulting a doctor regarding high-altitude trekking.
7. Liability & Assumption of Risk
A safari or mountain trek in Africa entails inherent risks. You will be visiting areas where wild, unpredictable animals roam freely and where medical facilities may be remote. By booking with Tindiga Africa, you accept these risks.
Tindiga Africa and its guides, drivers, and agents act only in the capacity of an agent for the Client in all matters relating to accommodation, transport, and excursions. We shall not be held liable for any injury, illness, death, loss, or damage to personal property, delays, or expenses arising from factors outside our direct control.
8. Force Majeure
Tindiga Africa will not be liable for any failure to fulfill our obligations if such failure is due to a “Force Majeure” event. This includes, but is not limited to, natural disasters, epidemics/pandemics, war, civil unrest, strikes, government closures, or any other event beyond our reasonable control. In such cases, standard cancellation terms apply, though we will work with you to postpone the trip to a later date.
9. Governing Law & Dispute Resolution
This Booking Policy and any contract between the Client and Tindiga Africa are governed by the laws of the United Republic of Tanzania. In the unlikely event of a dispute that cannot be resolved amicably, it shall be submitted to the jurisdiction of the Tanzanian courts in Arusha.
